Privacy Policy

This policy describes how TCE VoiceIQ processes business communications data and connected integration data, including QuickBooks Online data when enabled by a customer organization.

1. Information We Process

TCE VoiceIQ may process user profile details, organization settings, phone numbers, call metadata, transcripts, post-call notes, CRM records selected by authorized users, integration configuration metadata, and support communications. When QuickBooks Online is connected, the service may process the QuickBooks company identifier, customer/vendor/company records, contact details, transaction references, notes, and related accounting workflow data needed for approved VoiceIQ actions.

2. How We Use Information

We use information to authenticate users, route calls, support post-call summaries, search and update connected business systems, create or update customer workflow records, troubleshoot service issues, secure the platform, and provide customer support. QuickBooks data is used only to support the workflows authorized by the customer organization, such as lookup, connection status, post-call context, and related record update actions.

3. QuickBooks Online Data

VoiceIQ accesses QuickBooks Online data only after an authorized user connects an Intuit account and grants the requested permissions. The specific data available depends on the permissions granted by the QuickBooks Online company and the actions enabled for the customer's VoiceIQ organization. VoiceIQ does not sell QuickBooks data.

4. Credential Handling

API credentials, OAuth tokens, and refresh tokens are stored in managed secret storage and are not displayed back to users. Organization administrators may replace or clear integration credentials. Application users may use enabled integrations according to their organization's configuration without viewing secret values.

5. Sharing and Service Providers

We may share information with service providers that host, secure, transmit, or process the service, including cloud infrastructure, communications, authentication, analytics, support, and connected integration providers. These providers process information only as needed to deliver the service or comply with legal obligations.

6. Retention and Deletion

We retain operational data for as long as reasonably needed to provide the service, support customer workflows, maintain audit records, resolve disputes, comply with legal obligations, and enforce agreements. Disconnecting QuickBooks disables future access through the integration, but historical VoiceIQ records may remain according to the customer's retention settings and contractual obligations.

7. Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, and alteration. No internet or telecommunications service can be guaranteed completely secure, and customers remain responsible for managing authorized users, credentials, endpoints, and internal policies.
